1 Introduction

CampaignBot is a WhatsApp-based chatbot platform designed to help businesses (referred to as "Clients" or "you") send marketing messages, updates, images, and videos to their customers through automated campaigns. By accessing or using CampaignBot, you agree to the terms of this Privacy Policy, our Terms of Service, and all applicable laws.

We are committed to safeguarding your data and ensuring transparency in how we collect, use, and protect your information.

2 Information We Collect

We may collect the following categories of data:

  • Client Information: Name, business name, mobile number, email address, company registration details, payment information, etc.
  • Customer Data: Mobile numbers, names (if uploaded), and message contents sent by the client.
  • Usage Information: IP address, browser type, device identifiers, and access logs.
  • Message Data: All content (text, images, videos) sent via CampaignBot for analytics, security, and support purposes.

3 Use of Information

We use the collected data to:

  • Provide chatbot and campaign management services.
  • Authenticate users and manage accounts.
  • Monitor and improve platform performance.
  • Provide support and ensure legal compliance.
  • Process payments and subscription management.
  • Send system-generated alerts or campaign status updates.

Note: We do not sell or rent your data to third parties.

4 Prohibited Content Policy

Clients are strictly prohibited from using CampaignBot to send:

  • Sexually explicit or obscene messages.
  • Content containing nudity, pornography, or sexually suggestive material.
  • Abusive, threatening, discriminatory, or offensive material.
  • Fake or misleading information.
  • Videos, images, or messages that promote violence, hatred, or illegal activities.

Violations may lead to account suspension or termination and will be reported to relevant authorities under Indian IT laws.

5 Data Security

We implement industry-standard administrative, technical, and physical safeguards to protect your data:

  • Secure SSL encryption for all communication.
  • Encrypted data storage and regular backups.
  • Access control and audit logs for system activity.
  • Compliance with the IT Act 2000 and DPDP Act 2023 on data protection and privacy.

In case of a data breach, we will notify affected users and authorities as required under Indian law.

6 Payments and Billing Policy

Clients agree to the following payment terms:

  • Monthly Subscription Charges: Clients must pay a recurring monthly fee to access CampaignBot's services. Non-payment may result in the temporary suspension of services.
  • Campaign Charges: Clients are charged based on the number and size of messages (text, image, or video) sent during each campaign. These charges are automatically deducted from the CampaignBot Wallet.
  • Meta Platform Charges: Additional charges imposed by Meta (WhatsApp Business API) are also applicable per message or template and are borne by the client.
  • Payment Notifications: Clients will receive timely notifications about:
    • Wallet balance status
    • Upcoming renewals
    • Campaign billing details

All payments are subject to GST and other applicable taxes under Indian law.

7 Refund and Cancellation Policy

CampaignBot follows a strict non-refundable payment policy. By purchasing any subscription or adding funds to the CampaignBot Wallet, clients acknowledge and agree to the following terms:

  • Subscription Fees: All subscription plans purchased through CampaignBot are non-refundable. Once a subscription is purchased, no full or partial refund will be provided, irrespective of usage, cancellation, or the remaining subscription period. Clients may purchase one or more upcoming subscription packages in advance. These upcoming subscriptions will be automatically activated upon the expiry of the current active subscription. All advance subscription purchases are also non-refundable and cannot be cancelled or exchanged once confirmed.
  • CampaignBot Wallet: Funds added to the CampaignBot Wallet are non-refundable, non-transferable, and cannot be exchanged for cash or transferred to another account under any circumstances.
  • Campaign Delivery & Refunds: If a campaign message fails to be delivered due to a delivery failure reported by the messaging platform, CampaignBot will automatically refund only the CampaignBot markup charge for each failed message by crediting it back to the client's CampaignBot Wallet. Charges imposed by Meta (WhatsApp Business Platform) or other third-party providers are subject to their respective policies. Successfully delivered messages are not eligible for any refund.
  • Unused Services: Unused subscription periods, message credits, campaign charges, or wallet balances are not eligible for any refund, credit, or adjustment.
  • Cancellation: Clients may cancel the automatic renewal of their subscription at any time. The subscription will remain active until the end of the current billing cycle, after which it will not renew automatically. No refund will be issued for the remaining subscription period.
  • Billing Errors: Refunds will only be considered in the event of verified duplicate payments or billing errors directly caused by CampaignBot. Any approved refund will be processed only after a successful verification.

By using CampaignBot's services, you acknowledge that you have read, understood, and agreed to this Refund and Cancellation Policy.

8 Data Retention

We retain data only for as long as necessary:

  • Client and campaign logs: Up to 12 months for auditing and legal purposes.
  • Message content: Deleted automatically after a specified period or upon client request.

Data Deletion Upon Request: If the Client requests full deletion of their customer data from our servers, they may send a written request via email. Upon verification, our team will permanently delete the specified data from our systems within a reasonable time frame. This complies with applicable Indian data privacy laws.

9 Data Sharing and Disclosure

Your data may be shared with:

  • Government or law enforcement agencies, if required by law.
  • Third-party service providers (e.g., payment gateways, cloud hosting) are strictly for operational purposes, under signed NDAs and data protection agreements.

10 User Rights

As per applicable laws, you have the right to:

  • Access and review your stored data.
  • Request correction or deletion of inaccurate data.
  • Revoke consent for specific data use.
